Your health and safety is important to us! We have implemented a robust plan to keep your security top of mind as we gather together again.

COVID-19 Full Vaccination Requirement

  • A COVID-19 full vaccination is required for everyone who attends the MPE: Leaders Conference in San Diego – including attendees, suppliers, speakers and exhibitors.
  • Mask wearing is preferred, but not required. If this extra precaution is added as a requirement due to guidance changes, we will communicate that update to everyone.
  • We will leverage SafeAccess, a risk management solution suite to reduce risk, ensure compliance & provide peace-of-mind for in-person experiences

    • Specifically, we will use the SafeAccess screening feature to communicate & obtain acceptance of the identified health and safety policies and procedures, including proof of vaccination
  • Two-shot vaccinations must have the second dose on or before October 9.
  • Unvaccinated attendees will not be allowed access to the event.

SafeAccess

  • You will receive an e-mail invite to access SafeAccess
  • This SafeAccess Document will take you through the steps to get started quickly
  • While SafeAccess works on PCs/laptops, tablets and mobile-phones, we recommend that you accept the email invite to SafeAccess on your mobile device, so you’re all set to check-in and show your SafeAccess green pass when onsite.
  • You are required to provide documents, e.g., proof of vaccination  
    • Mobile device: you can upload photos (or take pictures) of your documents; please ensure that your mobile device’s browser has access to your camera/photos to enable this
    • Laptop: you can securely upload PDFs/Images (please note: editable docs such as MS Word are disallowed for security reasons)
  • Look for your SafeAccess e-mail invitation from no-reply@live.safeaccess.app. Please add no-reply@live.safeaccess.app to your contacts – it is also recommended that you ask your IT team to whitelist all e-mail from live.safeaccess.app to ensure timely receipt of all communications
  • You will be asked to complete a Pre-Event screening in which you may upload your proof of vaccination document.
  • Beginning October 23, users will begin using http://live.safeaccess.app/ to complete daily health symptom checks.
  • Once both proof of vaccination and daily health checks are completed, you will receive a green pass within SafeAccess which will allow you to pass into the Health Safety Corridor inside the convention center, using the entrance outside of Hall E.
  • You may return to the site at any time using this link: http://live.safeaccess.app/

Safety Precautions 

  • Our conference will be the only conference in the San Diego Convention Center during our live dates of Sunday to Wednesday.
  • Exterior doors outside of Hall E will be the only entrance for the entirety of the conference, so that a Health Safety Corridor is created to ensure only those who are vaccinated and screened enter our space.
  • At Hall E’s Health Safety Corridor, every conference participant will go through a digital Health Safety Screening in which:
    • Proof of fully vaccinated status will be confirmed in the SafeAccess platform
    • Daily digital health checks will attest attendees healthy status each day prior to entering
    • Should any attendee arrive with a yellow or red clearance status through Safe Access, they will be requested to meet with onsite health professionals and proceed through a series of screening steps onsite.
  • Social distancing of three feet while in education sessions onsite. While not required at this time, MGMA is taking this extra precaution while attendees are in learning sessions.
  • Single serving food and beverage stations, airflow and filtration improvements inside the San Diego Convention Center and cleaning procedures at all hotel partners and the convention center.

Events at the Hilton San Diego BayFront

  • We will be setting up a Health and Safety screening area at the Hilton San Diego Bayfront, HQ hotel, for all those attending events.
  • Events October 23 – 24 – The screening area will be located in Indigo West Foyer. After you are screened with your green SafeAccess pass, you will be identified as cleared. All other events hosted on Oct. 23 will be required to be cleared through the screening process to access events.
  • Saturday Chair’s Reception Oct .23 – The screening area will move to level 4 in the Sapphire Ballroom Foyer to establish a health safety corridor for the Chair’s event.
  • Monday Fellow’s MeetUp Oct. 25 – Will be screened as guests pass through door. If not cleared, guests will be directed to a secondary screening area.
  • Monday-Wednesday events – guests will be screened outside each event door.
  • Guests without badges for the event will be required to show proof of vaccine to access any and all events associated with the conference. They will not be allowed into events without showing proof of vaccine.

We are staying up to date on all travel guidelines, considerations and restrictions from global and local authorities. We’ll be reporting any major transportation or travel announcements that impact the event.

Risk Management Officers

Risk Managament Officers will be onsite for comprehensive risk analysis and contingency planning for MGMA and risk management.

Medical Risk Officer

We will have a Medical Risk Officer present to guide us through COVID-19 and medical planning strategies prior and during the conference.
